Privacy Statement Outline
total truck training (UK) Ltd (“We”) are committed to protecting and respecting the privacy of our staff, companies that form our ‘customer-base’ and the individuals that work for said companies.
This statement sets out the basis on which any personal data we collect from activities associated with the undertaking of providing commercial training and how this information will be processed by us.
For the purpose of the Data Protection Act 1998 (the Act), the data controller is: total truck training (UK) Ltd, Unit 7, 79 Friar Street, Worcester, Worcestershire WR1 2NT
Information Collected from Customer-Base Company Information
Taken from various communication sources we will collect: contact names, positions held, landline phone numbers, mobile phone numbers, site addresses, administrative-function addresses, email addresses.
Uses Made of Company Information
We will process bookings from initial discussion to course delivery, passing the relevant details to an instructor assigned to deliver the course, within one-week prior to the course start date.
Company, training course/training-related materials order information is retained within our booking system to record activity, produce customer invoices and provide analytical data on our activities by individual customers, customers by group-type and training course/training materials sold by category-type. We may use this data to contact customers to remind them that refresher training is due.
Limitation of Company Information Shared
No information taken from our customers will be shared with a third-party unconnected to process of course delivery/training materials supply, accounts processing or debt-collection. No customer details will be used for external-promotional purposes unless express permission is given, in-writing, by an individual with the appropriate level of authorisation supplied by his/her company.
Candidate Information
Dependent upon the type of course arranged by the customer, we may collect: candidate name, date-of-birth, location of training, photograph of individual.
Uses Made of Personal Information
For accredited courses we will register successful candidate information, using their name and date-of-birth (both required as a unique identifier). This information is uploaded onto the accrediting body encrypted-website via a secure login.
When requested to provide photographic identification cards containing course information, we will either produce the cards at our Worcestershire offices or supply the candidate information (as mentioned above for accredited courses), sending a photograph of the candidate separately via email to the nominated contact. Upon completion of this activity the candidate’s photograph and sensitive data is removed from the system.
Limitation of Candidate Information Shared
No candidate information or photographs will be shared for any other purpose to the reason it was collected. We may use candidate name and course details to remind their employer at the time their refresher training is due.
Data Storage
Personal information (individuals external to the Company) included on training paperwork is stored securely, on-site and held for six-years as required by our accrediting bodies.
Paperwork disposal suppliers used by the Company must hold: BS EN 15713:2009 that includes staff vetting BS7858.
Electronic, candidate data is limited to: individual’s name, name of company and course details, held on our internal secure server. Electronic data is held indefinitely. Expired Computer/Server hard-drives, CD’s & DVD’s are securely wiped and disposed of using suppliers that comply with: WEEE Directive.
Access to Information
The Act gives customers the right to access information held about their company and individuals within their employment. Additionally, employees of said customers have right to access their personal information held by us. The right of access can be exercised in accordance with the Act. Any access request may be subject to a fee of £10 to meet our costs in providing details of the information we hold.
